When someone leaves your company, disable their user so they no longer have access to your workspace. If they owned any applications, you can hand those over to someone else in the same step.
Step-by-step guide
Find the user
Go to Settings › Workspace Settings › Members and look up the user in the Members list.
Disable them
Next to the user, select Edit, then Disable, and confirm.
Reassign their applications
If the user is an Application Owner, a popup opens straight away listing the applications they own. Choose one new owner for all of them at once, or a new owner for each application, then confirm.
Once disabled, the user no longer has access to your workspace. Their status becomes Inactive, and they're hidden from the Members list by default.
Don't know whom to reassign to yet?
Any applications with an inactive Application Owner are called out in the Applications tab. Admins and Team Managers can reassign them whenever you're ready.
FAQs
How do I find inactive users?
In the Members list, add the Inactive status filter.
How do I reactivate an inactive user?
Next to the user, select Edit, then Enable. They get access to your workspace again straightaway.
I'm an Admin, why can't I disable or enable a user?
Who you can manage depends on your role:
- Admins can manage users with Finance, Compliance, and User roles.
- Only the Primary Contact can manage users with an Admin role.
Can I remove users entirely from my workspace?
No. To keep a full audit trail of your workspace members, users who have joined your workspace can't be removed, only disabled.
How do I delete a user invite?
If you've sent an invite and want to cancel it before it's accepted, select Edit, then Delete invite.
Their invite link stops working, so you'll need to invite them again if you change your mind.
